Event Design Workflow using Vectorworks Spotlight

My process prioritizes initial 3D animation without textures to quickly visualize space planning and furniture placement before focusing on details like lighting and texturing. My workflow is adaptable to different event scales, from small conferences to large concerts, by adjusting the level of detail in each design phase. These phases include layout, basic and advanced set design, lighting, audio/video elements, and final rendering.

It is critical that your Technical Director be involved in this work flow early on as their input will help guide your initial layout decisions. When I work with Doug Murray from Cue 1 Go Productions, I'm confident that everything used for the technical production will be placed correctly and function well within the space we have been provided.

I emphasize the importance of client visualization through animation to aid the design process.

Animation is a crucial tool in helping clients visualize and understand the design of multi-use event spaces. A walk-through animation, created by connecting a series of saved views, allows the camera to move sequentially among specified viewpoints, offering a dynamic perspective of the design. This method provides a "Fly Freely" type animation. The use of 3D animations without textures is particularly effective in the initial design phase because it allows for a quicker demonstration of the concept, focusing on the placement of furnishings and scenic elements rather than textures. This approach ensures that the client can understand the spatial arrangement and flow of the design before getting into the details of lighting and texturing.

In essence, animation serves as a powerful communication tool that bridges the gap between abstract design concepts and client comprehension, ensuring that the client can visualize the project early in the process.

These are my 15 design phases in my workflow. These phases are organized by the design process and can be adjusted based on the scale of the event.

The workflow is designed to be adaptable, allowing certain steps to be skipped for smaller events, such as conferences, that would be necessary for larger events, like concerts or theatrical shows.
